On-Demand Staffing for TrackWise Consultants, Administrators, and Migration Experts
TrackWise consultants and administrators for legacy TrackWise QMS estates, TrackWise Digital implementations, upgrades, and migrations off the platform. Contract, contract-to-hire, or direct hire for pharma, biotech, and medical device quality organizations.
HealthTECH Resources is a healthcare IT recruiting firm that has staffed regulated healthcare IT since 1998. Our pharma manufacturing and distribution practice brings that recruiting operation to quality systems and the people who keep them running.
Speak to an ExpertThree Directions, Three Different Hires
TrackWise has 700 or so implementations and more than 825,000 users, most of them at large and mid-size pharma and device companies that adopted it when Sparta Systems owned it. Since Honeywell’s acquisition in 2021, many of those companies have been weighing the same question, and the answer decides who they need to hire.
Stay on TrackWise QMS and keep it healthy. Legacy TrackWise is a deep, stable system, and companies with hundreds of configured record types, workflows, and grids have no appetite to re-platform. What they need is people who can keep it current: version upgrades, database and application-server maintenance, workflow changes under change control, Crystal and analytics reporting, web-service integrations to ERP and LIMS, and periodic revalidation. The people who know this generation of TrackWise are the same people who have known it for fifteen years, and many of them are retiring.
Move to TrackWise Digital. The cloud product runs on the Salesforce platform and ships with pre-configured Quality Process Accelerators, which makes it a different animal to configure and administer. The move is a re-implementation, not an upgrade: process harmonization across sites, data migration of open and historical records, Salesforce-style administration, and a new validation package. Honeywell’s own figure for a large enterprise rollout is three to six months, and the company’s QA staff rarely has that capacity on top of the day job.
Leave for another QMS. A meaningful share of TrackWise customers are consolidating onto Veeva or MasterControl, often after an acquisition leaves them with two or three quality systems. TrackWise knowledge is still the critical skill on those projects, because someone has to understand the source data model, the open CAPAs and complaints, and the audit trail that has to survive the move.
The TrackWise Family
- TrackWise QMS: the original enterprise quality system, on-premise or hosted. Quality events, deviations, CAPA, complaints, change control, audits, supplier quality, configured through record types, workflows, grids, and fields
- TrackWise Digital: the cloud QMS on the Salesforce platform. Quality events, CAPA, documents, training, and complaints in one environment, delivered through Quality Process Accelerators and configured without custom development
- TrackWise PQR: automates the annual product quality review by pulling data from QMS, LIMS, and manufacturing sources
- TrackWise QMR: management review metrics and analytics in near real time
- TrackWise Recall Management: signal detection, decision trees, and consignee notification for recalls
All of it carries Part 11 electronic signatures and audit trails and is validated as a configured system, which means every one of the three directions above has a validation workstream attached. The Computer System Validation page covers how we staff that.
Where TrackWise Work Gets Stuck
The single point of failure. Most legacy TrackWise sites run on one or two administrators who built the configuration years ago. When one leaves, the configuration is undocumented, the workflows are tribal knowledge, and the upgrade plan stops. Backfilling that person is the most common TrackWise request we see, and it is urgent every time.
Upgrades deferred until they are unavoidable. Legacy TrackWise versions fall out of support, and upgrades that skip several releases bring database, integration, and revalidation work all at once. A consultant who has run the upgrade before shortens the outage and the test effort.
Complaints that never fit the template. TrackWise is strong at complaint handling, and device companies configure it deeply for eMDR and vigilance reporting. Those configurations are exactly the ones that break in a migration to Digital or to another platform, because the regulatory reporting logic was built into the workflow.
Integration debt. Fifteen-year-old TrackWise estates have web-service and flat-file integrations to SAP, LIMS, document systems, and HR that nobody has mapped. Any of the three directions starts with an integration inventory, and few QA teams have anyone who can read the interfaces.
Salesforce skills meet quality skills. TrackWise Digital administration needs people who understand both the Salesforce platform and GxP quality processes. The two talent pools barely overlap, which is why Digital implementations stall on administration after the vendor’s customer success team hands off.
TrackWise Roles We Recruit
- TrackWise System Administrator (TrackWise QMS)
- TrackWise Configuration Specialist: record types, workflows, grids, fields
- TrackWise Upgrade Lead
- TrackWise Digital Administrator (Salesforce platform plus GxP quality)
- TrackWise Digital Implementation Consultant or Project Manager
- Quality Systems Business Analyst, TrackWise
- Complaint Handling and Vigilance Configuration Specialist
- TrackWise Integration Developer (web services, SAP, LIMS, document systems)
- TrackWise Reporting Analyst (Crystal, TrackWise analytics, PQR, QMR)
- QMS Migration Specialist (TrackWise to Digital, Veeva, or MasterControl)
- Validation Engineer, TrackWise
Screened for production ownership: which version they administered, how many record types and workflows they built or changed under change control, which upgrades they ran, which integrations they maintained, and, for migrations, which target platform they loaded.
Engagement Shapes That Fit TrackWise Work
- Backfill: a full-time or fractional administrator placed quickly, with the first deliverable being the configuration documentation the last administrator never wrote
- Upgrade: a project-scoped upgrade lead plus validation support, typically three to five months
- Digital implementation or migration: an implementation lead, a configuration specialist, a data migration specialist, and a validation engineer through go-live, tapering to one administrator
- Steady state: a part-time administrator who owns changes, reporting, and periodic review
Hourly, approved weekly, no minimum commitment. Remote by default, onsite when an upgrade cutover or an inspection calls for it. Profiles before contract, with no fee to see candidates.
Why HealthTECH?
For 28 years we have recruited for the systems hospitals cannot run without: laboratory systems inspected under CAP and CLIA, pharmacy systems, Lawson and Infor ERP, and the HL7 and EDI interfaces between them. Keeping a fifteen-year-old validated system alive while its original builders retire is a problem we know from the hospital side, where MEDITECH Magic and legacy Cerner estates created the same single-administrator risk. We screen for the same things in a TrackWise administrator that we screen for in a legacy LIS analyst: what they built, what they maintained under change control, what they did when the system could not do what the business asked, and whether they can walk an inspector through it.
What carries over: the recruiting operation that has kept hospitals staffed since 1998, a 48 to 72 hour shortlist, the hourly no-minimum model, and a network that already includes CSV engineers, ERP analysts, LIMS specialists, and integration developers whose skills sit on both sides of the healthcare and pharma line.

TrackWise Consulting FAQs
Vetted profiles within 48 to 72 hours of receiving the requirement. For a legacy TrackWise backfill we look first for people who administered the same version range and have documented someone else’s configuration before, because that is the first job. Expect a contractor to start within two to three weeks; a permanent replacement takes longer and we can bridge it.
Both, and the legacy side is the larger need right now. Administrators, configuration specialists, upgrade leads, integration developers, and reporting analysts for TrackWise QMS; implementation consultants and administrators for TrackWise Digital.
A new implementation. Digital runs on the Salesforce platform with a different data model and administration model, so processes are re-mapped, records are migrated, and the system is validated again. We staff it as an implementation: a lead, a configuration specialist, a migration specialist, and a validation engineer, tapering to one administrator after go-live.
Because the source system has to be understood to be migrated. Someone who knows your record types, workflows, open CAPAs and complaints, and the integrations feeding them is the person who keeps the migration from losing history or breaking regulatory reporting. We can place that person alongside the Veeva team.
Yes. Upgrade leads who have run version upgrades including the database and application-server work, the integration retesting, and the revalidation. Skipped versions add scope; we will tell you what a multi-version jump typically costs in time.
That intersection is small, and it is the hard part of TrackWise Digital staffing. We screen for Salesforce platform administration experience and for quality process ownership separately, and we say which a candidate has. Many Digital teams end up pairing a Salesforce administrator with a quality systems analyst.
For production ownership, not exposure. Which version they administered, how many record types and workflows they built or changed under change control, which upgrades they ran, which integrations they maintained, and for migrations, which platform they moved to. End-user experience alone does not reach your inbox.
Yes. Contract, contract-to-hire, and direct hire, including permanent administrators, quality systems analysts, and integration developers.
No. We place consultants and trainers who work for life sciences organizations and their internal teams. We do not offer courses for individuals.
